Hatfield Association - Terms and Conditions for Event Registrations

Bookings and Cancellations

Alumni events are often very popular so pre-booking is essential. We advise booking as early as you can to avoid disappointment.

By purchasing a ticket for an event, you are agreeing to these terms and conditions of sale.

All events are subject to change including venue, date and time, speakers and ticket prices.

Events are run on a not-for-profit basis. Any small surplus generated is used to further the aims of the Hatfield Association.

Hatfield Association reserves the right to cancel an event due to low enrolment or other circumstances which would make the event non-viable.

 If an event is cancelled, Hatfield Association will use reasonable efforts to notify guests of the cancellation. 

If we cancel an event, guests will be offered a full refund. However, any other expenses (including travel) incurred due to the cancellation of an event will not be refunded. 

If an event is postponed, guests will either have the option to receive a full refund or transfer registration to the rescheduled date. 

Event tickets cannot be refunded after purchase. 

Up to ten working days before the event tickets may, at Hatfield Association’s discretion, be exchanged for a credit note towards future Hatfield Association events. 

Hatfield Association reserves the right not to accept tickets for resale. Where we do accept tickets for resale, this will be once all other tickets have been sold and may be subject to administrative fees and/or other terms and conditions. 

All event cancellation notifications should be made by the person who made the original booking or the credit card holder. 

Refunds will not be given for guests who do not turn up to an event on the day.

Regrettably, the Hatfield Association cannot refund guests on occasions when bad weather prevents or discourages travel. 

Any bed & breakfast accommodation that is booked is subject to Durham University guest accommodation terms & conditions.

COVID-19 

Should an event be cancelled due to local or national Government restrictions, guests will be offered to transfer their ticket to a rescheduled event or offered a credit note. 

For attendees exhibiting Covid-19 Symptoms or who are required to self-isolate, a credit note will be issued up to 24 hours prior to the event. 

By booking your tickets you declare that you and all members of your party will not attend the event if at the time of your visit: 

  • you have a suspected or confirmed case of COVID-19; 
  • you are displaying any symptoms of COVID-19; 
  • you have been instructed to self-isolate due to exposure to a confirmed or suspected case; 
  • you are required to self-isolate after returning from any location that is under quarantine restrictions or special measures that limits travel and non- essential activity. 

Your booking may be cancelled without refund in the event of this condition being breached.

General 

All details on the Hatfield Association or Durham University website and other communications are correct, errors and omissions excepted, at time of publishing but the Hatfield Association reserves the right to alter its event programme and other details without prior notice.

Photography 

Hatfield College, Hatfield Association and Durham University may use photographs taken at events on their websites and on social media; in emails to Hatfield College alumni and in publications including the Hatfield Record. Should guests not wish to be photographed please ensure that you make your request known in advance by email to [email protected]

Data Protection 

All information is securely held. It is treated confidentially in accordance with Data Protection legislation. Data is used to keep you informed about alumni activities and programmes involving academic and administrative departments, fundraising programmes and for the promotion of benefits. This may include an element of direct marketing. Data will not be disclosed to external organisations other than those acting as agents of the University. 

By booking the event you confirm permission for the details included in your booking to be shared with Hatfield College, Hatfield Association and Durham University.

Liability

 All event attendees take part in this event at their own risk and Hatfield College, Hatfield Association and Durham University does not accept any responsibility for any loss, injury, or damage.
